Role Purpose:

The Health and Safety Administrator provides essential administrative and coordination support across three core operational areas: learning and development, recruitment, and health and safety compliance. The postholder will be responsible for keeping training records accurate and current, supporting the delivery of the organisation’s training calendar, administering the recruitment process, and ensuring compliance documentation is well-organised and audit ready.

This is a detail-focused, varied role that will suit someone who takes pride in keeping systems and records in good order, communicates confidently with both internal stakeholders and external providers, and can manage a busy and varied workload. This role will be complementing existing staff in a similar role with the goal of reviewing and separating out elements of the roles between the team.

Key Responsibilities:

Training & Development

  • Maintain and update the training matrix across the group, proactively flagging expiring mandatory qualifications and overdue completions to line managers in a timely manner.
  • Liaise with external training providers to manage bookings, confirm arrangements, process invoices, and ensure records are kept up to date.
  • Support the administration of internal programmes, including new starter induction, and any funded or accredited learning activity.
  • Produce regular training reports and management information, including completion rates, and upcoming requirements.
  • Maintain an organised library of training materials, course records, and certification documentation, ensuring version control and accessibility.

Health & Safety

  • Provide day-to-day administrative support to the H&S function.
  • Schedule and record H&S-related activity across sites, including employee monitoring visits, workplace inspections, toolbox talks, and statutory checks, ensuring all activity is documented appropriately, certificates saved ad purchase orders raised appropriately.
  • Support the coordination of H&S training for new starters, ensuring all required courses are booked and scheduled in diaries.
  • Take minutes in the monthly SHE meeting, send out actions and minutes.
  • Add subcontractors to an internal system, ensuring they have provided insurance and accreditations and maintaining that database.
  • Invigilating ECS tests and applying for ECS cards following successful exam outcomes.

Recruitment Support

  • Provide administrative support to the recruitment process as required, including posting adverts, arranging interviews, and managing pre-employment check documentation and providing these to the internal HR team.
  • Maintain accurate recruitment records and assist with onboarding administration to ensure a smooth handover between the hiring process and the new starter’s first day.

Person Specification:

Essential

  • Experience in an administrative role, ideally within a training, H&S, or operational support function.
  • Strong organisational skills with a high degree of attention to detail and the ability to maintain accurate records across multiple workstreams.
  • Confident using Microsoft Office (Word, Excel, Outlook) to an intermediate level, including the ability to create and maintain tracking spreadsheets.
  • Clear and professional written and verbal communication skills, with the ability to liaise effectively with managers, employees, and external providers.
  • A proactive, self-motivated approach with the ability to prioritise competing deadlines and work independently with minimal supervision.
  • A conscientious approach to compliance and documentation, with an understanding of why accuracy matters in training and H&S records.
